ACS Meridian helps you track your professional credentials, certifications, and continuing education. We collect the account and credential information you give us, we don't sell your data or use it for advertising, and agency features are planned but not yet active — today no agency administrator can see your information (see Section 5). You can ask us to access, correct, or delete your data at any time at support@aegiscommunitysolutions.io.
Aegis Community Solutions LLC ("ACS," "we," "us"), a North Carolina limited liability company, operates ACS Meridian (the "Service") and is responsible for your personal data. Mailing address: 326 Toney Rd, Marion, NC 28752. Contact: support@aegiscommunitysolutions.io.
Account information (name, email address, password — stored via our authentication provider), provided by you. Profile and professional information you choose to add — a profile photo, display title or headline, short bio, city, years of experience, and specialties, together with résumé-style records you enter: work and position history (agency or employer, role, location, and dates), education, and awards or recognitions. Professional credential data (license and certification types, credential numbers, issue/expiration dates, CE records and hours), provided by you. Uploaded documents (CE certificates, course-completion cards, and similar PDFs or images you upload). Schedule data (the shifts, rotations, and calendar entries you create or import, including any shift or event location text you enter). Agency affiliation (planned — not currently collected; when agency features launch this would include the agency you join, your role, and attendance and CE records associated with that agency). Technical data (device type, operating system, app version, and diagnostic logs generated when the app communicates with our servers), collected automatically. Communications you send us for support or feedback. We do NOT automatically collect precise device location — there is no GPS or background-location tracking; any location information is limited to text you type into a shift or event. We also do NOT collect Social Security numbers, driver's license numbers, financial account or payment card information, patient records, or advertising identifiers. The app does not include any third-party analytics, advertising, or crash-reporting SDKs, and does not track you across other apps or websites.
To provide the Service (track credentials, CE progress, expirations, reminders) using your account, credential, uploaded-document, and agency data while your account is active. For AI-assisted document extraction (see Section 6) using uploaded documents. For agency compliance features (planned, see Section 5) — not yet active; when launched, this would use credential status, CE, and attendance while you are affiliated with an agency. To operate, secure, and debug the Service using technical data. To respond to support requests using your communications. To improve the Service's document-recognition accuracy using uploaded documents and your corrections. We do not use your data for advertising and we do not sell it.
Amazon Web Services (AWS) — cloud hosting, database, and authentication infrastructure; data is stored in the United States (us-east-1 region). Anthropic (planned) — AI-assisted document intake is a planned feature that is not yet active. If and when it becomes available, a document you choose to process would be transmitted to Anthropic's commercial API, which under Anthropic's commercial terms does not use submitted data to train Anthropic's models; we will update this policy before enabling it. Your agency (planned) — agency features are not yet active and no agency administrator has access to your data today. When launched, if you join an agency, its authorized administrators would be able to view your credential status, expiration dates, CE progress, attendance, and compliance status (see Section 5). App distribution platforms — Apple (TestFlight/App Store) and Google (Google Play) process installation and, if enabled on your device, crash data under their own privacy policies. Legal and safety — we may disclose data if required by law or to protect the rights, safety, or property of users, ACS, or others. Business transfers — if ACS is involved in a merger, acquisition, or sale of assets, your data may be transferred, and we will notify you. Presentation you initiate — the Service lets you generate a shareable digital ID or QR code (for example, for scene check-in or to display your credentials) that encodes information such as your name, credential level, issuing authority, and agency; whenever you choose to share it, or enable an optional public profile link, the people you show it to can view that information. This is under your control and is off by default. We have not sold or shared personal information for advertising purposes, and we do not do so.
Multi-agency features are planned and are NOT yet active. Today no agency administrator can see any part of your account, and there is no mechanism in the app to join an agency. We will update this policy before enabling agency features. When they launch, if you accept membership in an agency: that agency's authorized administrators can see your name, credential types and statuses, expiration dates, CE progress toward requirements the agency tracks, attendance records for agency-associated training, and overall compliance indicators. Administrators of one agency cannot see data associated with a different agency. If you leave an agency, it retains records generated during your membership (such as attendance at its trainings) but loses forward visibility into your account.
AI-assisted document extraction is a planned feature intended to read information (such as course titles, dates, hours, and provider names) from documents you upload so you don't have to type them manually. It is not yet active — you enter and confirm document details yourself. Planned sub-processor: Anthropic (see Section 4). When the feature launches, AI-extracted values will be prefilled for your review, and nothing will be applied to your official records until you confirm it; where the system cannot confidently determine a value, it will leave the field blank and flag it rather than guessing. We may use uploaded documents and your corrections to improve our own document-recognition rules within the Service; we do not use your personal data to train third-party AI models. The Service does not make automated decisions that produce legal or similarly significant effects about you without human review. We will update this policy before enabling AI processing.
We keep your information only as long as your account is active or as needed to provide the Service. When you delete your account (Profile → Settings → Delete Account), we delete your personal data — profile, credentials, CE records, and uploaded documents — from our active systems within 30 days (usually immediately), and it rolls out of our encrypted backups within about 35 days after that. Server diagnostic logs are retained for about 30 days, then deleted or de-identified. We keep limited information longer only where the law requires it, to resolve disputes, or to prevent fraud or abuse — and, if we introduce paid plans in the future, to keep transaction records for the period tax law requires.
Regardless of which U.S. state you live in, you may: access the personal data we hold about you; correct inaccurate data (most credential data can be edited directly in the app); delete your account and personal data; and obtain a copy of your data in a portable format. You can delete your account and all associated data yourself at any time in the app under Profile → Settings → Delete Account. You may also contact support@aegiscommunitysolutions.io from the email associated with your account (we verify identity this way); we respond within 45 days and will not discriminate against you for exercising these rights. Our app does not use cross-site tracking and does not respond to browser Do Not Track signals.
The Service is intended for professionals and is not directed to anyone under 18. We do not knowingly collect personal data from children. If you believe a child has provided us data, contact support@aegiscommunitysolutions.io and we will delete it.
We use reasonable administrative and technical safeguards, including encryption of data in transit, encryption at rest in our database and authentication systems, and role-based access controls that limit agency administrators to their own agency's data. No system is completely secure, so we cannot guarantee absolute security. If a breach affects your personal data, we will notify you and regulators as required by applicable law, including North Carolina's identity theft protection statutes.
We will update this policy as the Service evolves. Each version is dated. For material changes — in particular any change to how we share or use your data — we will notify you by email or in-app notice before the change takes effect. We will never retroactively apply a materially different practice to data collected under an earlier version without notice.
