These Terms of Service ("Terms") govern your access to and use of ACS Meridian, including the mobile application, web application, and related services (collectively, the "Service"), operated by Aegis Community Solutions LLC, a North Carolina limited liability company ("ACS," "we," "us," or "our"). By creating an account or otherwise using the Service, you agree to these Terms. If you do not agree, do not use the Service.
ACS Meridian is a credential, certification, and continuing education (CE) tracking platform designed for EMS providers, fire service professionals, nurses, and the agencies that employ or oversee them. The Service allows individual users to track licensure, certifications, and CE progress. Agency features — allowing participating agencies to view attendance, CE, and compliance information for their affiliated members — are planned and are not yet active (see Section 5).
The Service is under active development. Features may be added, changed, or removed as the Service evolves; the Service may contain errors, bugs, or interruptions. You should maintain independent copies of any records or documents you upload. We may suspend or modify the Service as described in these Terms.
You must be at least 18 years of age to use the Service. By using the Service, you represent that you are 18 or older and have the legal capacity to enter into these Terms. The Service is intended for use by professionals and agencies in the emergency services and healthcare fields and is not directed at children.
You are responsible for maintaining the confidentiality of your account credentials and for all activity that occurs under your account. You agree to provide accurate information when creating your account and to keep it current. Notify us promptly at support@aegiscommunitysolutions.io if you suspect unauthorized use of your account.
Multi-agency features are planned and are NOT yet active in the Service — there is currently no way to join or affiliate with an agency inside the Service, and no agency administrator can view any information about your account. We will update these Terms before enabling agency features. When they become available: if you join or affiliate with an agency within the Service, you acknowledge and agree that authorized administrators of that agency may view information associated with your membership, which may include your credential status, expiration dates, CE progress, attendance records, and compliance status relevant to that agency. Details are described in our Privacy Policy. You may leave an agency at any time, subject to any records already generated during your membership. Agencies using the Service are responsible for ensuring they have appropriate authority to view and manage the compliance information of their affiliated members.
ACS Meridian is an organizational and informational tool. It is not an official system of record. Official credentialing bodies — including but not limited to the North Carolina Office of Emergency Medical Services (NCOEMS), other state EMS offices, the National Registry of Emergency Medical Technicians (NREMT), certifying boards, and your employing agency — remain the sole authoritative sources for your licensure, certification, and compliance status. Information displayed in the Service, including expiration dates, CE totals, and compliance indicators, may be incomplete, delayed, or inaccurate. You remain solely responsible for verifying your credential and CE status with the applicable official body and for meeting all recertification and licensure requirements. The Service does not provide medical, legal, or regulatory advice. ACS is not liable for any lapse in licensure, certification, employment consequence, or regulatory action arising from reliance on information displayed in the Service.
Clinical Reference Content — Reference Only; Not Medical Advice. The Service includes clinical field-reference features, which may include emergency medical protocols and guidelines published by state EMS offices and other authorities (displayed as the original source document, unaltered), a drug and dosing reference, weight-based calculation aids, and clinical reference tools such as scoring scales, vital-sign ranges, and assessment aids (together, the "Clinical Content"). The Clinical Content is provided for general informational and reference purposes only. It is not medical advice, it is not a substitute for professional clinical judgment, and using the Service does not create a provider–patient, physician, or other clinical relationship between you and ACS. ACS does not practice medicine, does not provide medical direction, and is not your, your patient's, or your agency's medical authority. Your agency's protocols and your medical direction always control; protocols and drug information change and what you see may be outdated, so verify every dose, protocol, and value against your agency's current protocols, the official source, and your medical direction before acting. Any calculator or computed value is an aid only and relies on inputs and assumptions (including drug concentration) that you must confirm; you must independently verify every computed result before acting on it. The Service is a reference aid, is not a medical device, and is not intended to diagnose, treat, cure, or prevent any disease.
Certain features of the Service are planned to use artificial intelligence, including AI-assisted extraction of information from uploaded CE certificates and documents. This capability is not yet active — you enter and confirm document details yourself. When AI-assisted features become available, any AI-generated extraction or suggestion will be provided for your convenience only, will always be subject to your review and confirmation before being applied to your records, and will not replace your obligation to verify the accuracy of your own records; where the Service cannot confidently determine a value, it is designed to leave the field blank and flag it for your review rather than guess. You remain responsible for reviewing and confirming all information in your records. We will update these Terms before enabling AI processing.
You retain ownership of the documents, certificates, and information you upload to the Service ("User Content"). You grant ACS a limited, non-exclusive license to host, store, process, display, and transmit User Content solely to operate, maintain, secure, and improve the Service. You represent that you have the right to upload your User Content and that it does not infringe the rights of any third party. You agree not to upload patient records, protected health information relating to patients, or any content you are not authorized to share. The Service is designed to store your professional credential and CE records, not patient care documentation.
You agree not to: use the Service for any unlawful purpose or in violation of any regulation applicable to your profession; misrepresent your identity, credentials, or agency affiliation; upload falsified, forged, or fraudulent certificates or credential documents; attempt to access accounts, agencies, or data belonging to others; probe, scan, or test the vulnerability of the Service, or circumvent authentication or security measures; reverse engineer, decompile, or disassemble any portion of the Service except where such restriction is prohibited by law; use automated means to scrape or harvest data from the Service; or interfere with or disrupt the integrity or performance of the Service. We may suspend or terminate accounts that violate this section.
If you provide suggestions, bug reports, or other feedback about the Service, you grant ACS a perpetual, irrevocable, worldwide, royalty-free license to use that feedback for any purpose without obligation or compensation to you.
The Service, including its software, design, logos, and content (excluding User Content), is owned by ACS or its licensors and is protected by intellectual property laws. Except for the limited right to use the Service under these Terms, no rights are granted to you.
The Service is distributed through third-party platforms including Apple TestFlight / the Apple App Store and Google Play. Your use of those platforms is governed by their respective terms. The additional terms in Section 19 apply to Apple users. The Service relies on third-party infrastructure providers (including Amazon Web Services) to host and process data, as described in our Privacy Policy.
The Service is currently provided free of charge. We may introduce paid plans in the future; if we do, pricing and payment terms will be presented before any charge applies. Current free access does not entitle you to free access permanently.
You may stop using the Service and request deletion of your account at any time. We may suspend or terminate your access at any time, with or without cause. Sections 6, 7, 10, 11, and 15–18 survive termination.
THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE," WITHOUT WARRANTIES OF ANY KIND, EXPRESS OR IMPLIED, INCLUDING WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, NON-INFRINGEMENT, ACCURACY, OR UNINTERRUPTED AVAILABILITY. WE DO NOT WARRANT THAT THE SERVICE WILL BE ERROR-FREE OR THAT DATA WILL NOT BE LOST.
TO THE MAXIMUM EXTENT PERMITTED BY LAW, ACS AND ITS MEMBERS, OFFICERS, AND AGENTS WILL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, OR FOR LOSS OF DATA, LOSS OF LICENSURE OR CERTIFICATION, LOSS OF EMPLOYMENT OR INCOME, OR REGULATORY PENALTIES, ARISING OUT OF OR RELATED TO THE SERVICE. OUR TOTAL AGGREGATE LIABILITY FOR ANY CLAIM ARISING OUT OF THESE TERMS OR THE SERVICE WILL NOT EXCEED THE GREATER OF (A) THE AMOUNTS YOU PAID TO ACS FOR THE SERVICE IN THE TWELVE MONTHS PRECEDING THE CLAIM, OR (B) FIFTY U.S. DOLLARS ($50). Some jurisdictions do not allow certain limitations; in those jurisdictions, these limitations apply to the fullest extent permitted.
You agree to indemnify and hold harmless ACS from claims, damages, and expenses (including reasonable attorneys' fees) arising from your User Content, your violation of these Terms, or your violation of any law or third-party right.
These Terms are governed by the laws of the State of North Carolina, without regard to conflict-of-law principles. Any dispute arising out of these Terms or the Service will be brought exclusively in the state or federal courts located in Buncombe County, North Carolina, and you consent to personal jurisdiction there.
If you access the Service on an Apple device: these Terms are between you and ACS only, not Apple. Apple has no obligation to provide maintenance or support for the Service. In the event of any failure of the app to conform to an applicable warranty, you may notify Apple, and Apple may refund any purchase price paid (if any); to the maximum extent permitted by law, Apple has no other warranty obligation. Apple is not responsible for addressing claims relating to the app, including product liability, regulatory compliance, or intellectual property claims. Apple and its subsidiaries are third-party beneficiaries of these Terms and may enforce them against you. You represent that you are not located in a country subject to a U.S. Government embargo and are not on any U.S. Government restricted-party list.
We may update these Terms from time to time as the Service evolves. Material changes will be communicated through the Service or by email. Continued use after changes take effect constitutes acceptance.
